EdgeEX — Creating sections in bulk

 Permission

To create sections in bulk, you must have the following permissions:

  • EdgeEX Create Sections
  • Manage Courses in Bulk

To check your permissions, reference Checking your educator permissions.

Use this article to create EdgeEX course sections using the Bulk Import Wizard. The Bulk Import Wizard is an alternative method to creating sections by course. Use this method when you want to create all of your sections for all of your courses at one time, rather than creating the sections for each course individually. This method allows you to create sections for all the courses for all subjects using one spreadsheet.

 Caution

The district must add courses to their School Catalogs before completing the steps in this article. 

Before you begin

Set yourself up for success by completing the following:

  1. Add courses to your School Catalog.
  2. Make any school-wide changes to course options.
  3. Make any school-wide course content customizations.
  4. Decide on a naming convention for your sections.
  5. If you're using External Course Codes, make sure they are set up in advance.
  6. If you want to use the template to input teacher names for the Primary Teacher field, you must have educator usernames (not their name or email address). You can access teacher usernames on the Manage Educators tab and download them in an Excel file for reference.

 Caution

The Import Template spreadsheet that downloads when using the Bulk Import Wizard is unique to:

  • The school you are in when you download the template. If you are creating sections for multiple schools, you must navigate to each school before downloading the template. 
  • The courses that are available in the School Catalog at the point in time when you download the template. 

The spreadsheet is dynamically generated each time you need to create sections. Always start with a fresh template so that it accurately reflects what is in your School Catalog. If you use an old spreadsheet, it may be missing courses or may have course splits that are out of date.

Always download a new template when following the Bulk Import process.

Accessing the Bulk Import Wizard

  1. Access the School Catalog.
  2. At the top of the page, click Bulk Import Sections.

  3. The Bulk Import Wizard displays. Continue to the applicable section below:

Downloading and filling out the Import Template

Always download a new template when following the Bulk Import process.

  1. On the Bulk Import Wizard, click Download Import Template. An Excel file with the filename EdgeEX_Sections_Bulk_Import_Template downloads to your computer.

  2. Open the file. 
  3. Fill in the spreadsheet. 

    If you... Action
    Do not have an SIS integration (most schools)
    1. In the Course Family column, select a course family.

       Note

      The course families of the courses your school has added are available.

    2. From the drop-down list in each column, select the following required fields:
      • Implementation Model: Select the implementation model (CR, IC, HON)
      • Course: Select the name of the course
      • Length: Select the length of the course (Year, Semester, etc)
      • Grade Level: Select a grade level.
    3. Complete the Section Name field. It is required.
    4. Check the Status column:
      • Valid: Required fields have been completed correctly.
      • Invalid: Required fields have not been completed correctly.
      • Incomplete: One or more required fields has not been completed.
    5. Make any corrections.
    6. Complete the following fields, if desired. They are not required:
      1. Start Date
      2. Target Date
      3. Primary Teacher (username)
      4. Additional Teachers (username)
    7. Do not attempt to complete the EdgeEX Course ID and Split ID fields. These fields are not editable.

    Have an integration with your SIS

     Note

    If you are a district administrator creating EdgeEX enrollments through an integration and you want to name your sections with a specific naming convention, when you fill in the template:

    • In the Section ID column, input a unique identifier. Many organizations choose to use the external course code plus a unique identifier at the end, for example: XXXXXX-01.
    • In the Section Name column, name each section according to your naming conventions.

    Alternatively, if the naming convention, course code + course name + section code, works for you, you can use the External Course Code Import Wizard once at the district level and your course enrollment integration will create sections at each school based on your integration settings.

    If you have an integration with your SIS in which students are enrolled into courses via nightly import:

    1. In the External Course Code column, input the External Course Code from your SIS.

       Note

      Each ID must be unique or it will cause an error.

      After you input the External Course Code, the following required fields populate automatically:

      • Course Family
      • Implementation Model
      • Course
      • Length
    2. In the Grade Level column, select a grade level. This is a required field.
    3. Complete the Section Name field. It is required.
    4. Check the Status column:
      • Valid: Required fields have been completed correctly.
      • Invalid: Required fields have not been completed correctly.
      • Incomplete: One or more required fields has not been completed.
    5. Make any corrections.
    6. Complete the following fields, if desired. They are not required:
      • Start Date
      • Target Date
      • Primary Teacher (username)
      • Additional Teachers (username)
    7. Do not attempt to complete the EdgeEX Course ID and Split ID fields. These fields are not editable.

    Field descriptions

    Required fields are marked with an asterisk (*).

    Field Description
    External Course Code If you have an integration with your SIS in which students are enrolled into courses via nightly import, this is the External Course Code code in your SIS.
    Section ID If you have a Section ID, input it. This is not a required field. The Section ID is the district's own identifier for a section.
    Section Name*

    Input the section name. Each section name must be unique.

    We recommend including something unique to this specific upload so it will be easy to find later on the Manage Courses page. For example, Summer 2026 or Fall 2026.

    Course Family* The drop-down lists display course families of the courses that are available in your School Catalog.

    Implementation Model* The drop-down list displays implementation models of the course that are available in your School Catalog.
    Course* The drop-down list displays courses that are available in your School Catalog.
    Length*

    The drop-down list displays course lengths that are available for the course (for example, full course, semester, trimester, quarter, or module). The length must match the version (for example, Semester A, Semester B, Year).

    Grade Level* The drop-down list displays applicable grade levels.
    Start Date Input the start date in MM/DD/YYYY format. The date cannot be today's date or a past date. If this field is left blank, the system will assign the next day's date. 
    Target Date Input the target date in MM/DD/YYYY format.  If this field is left blank, the system will assign the next day's date. 
    Primary Teacher (username) Input the username (not the teacher's name or email address) for the primary teacher. Or, leave this field blank to be filled out later.
    Additional Teachers (usernames)

    Input the username for each additional teacher (not the teacher's name or email address). Or, leave this field blank to be filled out later.

     Note

    You can include as many additional teachers as you want. Separate their usernames with a semicolon. 

    For example: username; username

  4. Save the Excel file and continue to the next section.

Uploading the Import Template file

  1. On the Bulk Import Wizard, click Upload File.

     Note

    Files larger than 4 MB may generate an error. If this occurs, try this workaround:

    • Save it as a .csv file.
    • Open the .csv file and save it again as a .xlsx file (this will make the file smaller).
  2. At the top of your School Catalog page, the Bulk Import Wizard provides updates while the system processes in the background. It may take a few minutes to finish processing.

  3. Refresh your screen. You may need to refresh the screen more than once to see that the upload was Validated. If the system is still processing after 15 minutes, contact our support team.

  4. When the Bulk Import Wizard confirms that the sections are Validated, click Review Sections

  5. Review the list of sections that displays. From this page, you can edit and delete sections. If there are any issues with the upload, the section is highlighted and a red exclamation point indicates the columns that need attention.

     Note

    If there are many errors, identify the affected rows. Then correct them in your spreadsheet and re-upload the file. If you only have a few sections with errors, continue to step 6 in this procedure to make corrections on the screen.

  6. If desired, under Actions, click the trash icon to delete a section.

  7. Click the edit icon to make corrections to a section.

  8. On the flyout that displays, correct the applicable fields. Use the drop-down menus for course names, versions and lengths, and teacher usernames. Click Update.

  9. Once all corrections have been made, click Import

  10. The page does not refresh to display your new sections. To view them, navigate to the Manage Courses page and filter for EdgeEX.
