Use this article to upload, change, or remove external course codes using the External Course Code Import Wizard. The Import Wizard allows you to upload external course codes for all the courses in a district or school using one spreadsheet. Alternatively, if you only need to update the external course code for one course, you can update it in the Course Information on the Content tab of the applicable course.
Note
Using the process below will result in sections that are named with the following convention: course code + course name + section code. If the district wants to name sections using a specific naming convention, use the bulk import process.
Before you begin
- Make any desired course customizations at the district and school levels.
- Because external course codes are associated with course splits, such as semesters, trimesters, quarters, or modules, it is important that those splits are created and in the desired order before external course codes are created. The external course code will travel with the split, even if the split is renamed or the order of splits is changed.
- After attaching external course codes to your courses, you can still make customizations inside any splits. However, if you create new splits or reorder existing splits, you will need to update external course codes.
- Add courses to your School Catalogs. The import template will populate with the courses the district has added to the schools.
Accessing the External Course Code Import Wizard
- Access your District Catalog.
- At the top of the page, click Import, then click External Course Code.
- The External Course Code Import Wizard displays. Continue to the applicable section below:
Downloading and filling out the Import Template
- On the Import Wizard, click Download Import Template. An Excel file with the filename EdgeEX_External_Course_Codes_Template downloads to your computer.
- Open the file. It has a row for every course in every school in your district and for every split within that course. You will be updating the last two columns on the spreadsheet.
- Complete the following for each course:
Column If you are... External Course Code - Uploading a code for the first time or updating an existing code: Input the code.
- Removing a code: Clear out the cell.
- Taking no action for that row: Leave the cell as-is.
Action - Uploading a code for the first time: Select Update.
- Updating a code: Select Update.
- Removing a code: Select Remove.
- Taking no action for that row: Leave No Change (the default) selected.
Important
- Codes must be unique within a school. You can use the same code for the same course at every school in your district.
- The codes cannot be shared by heritage and EdgeEX courses. To reuse the same basic code structure, consider adding -ex to identify EdgeEX courses.
- Save the Excel file and continue to the next section.
Uploading the Import Template file
- On the Import Wizard, click Upload File.
- At the top of your District Catalog page, the Import Wizard indicates that the Excel file is uploaded.
- Refresh the page and the Import Wizard confirms that the codes are Validated. Click Review Codes.
- The Import Wizard displays the data as it will be imported. Review the codes in the External Course Code column. If you get an error or if a code doesn't look right, you can remove that row from the table. This will prevent that data from being imported in the next step.
- At the bottom of the screen, click Import.
- External course codes that have been saved display in the Course Hub and can be updated there one at a time in the SIS Enrollment Code field (by users with permission provided by the integrations team, as described at the top of this article).
External course codes that have been saved also display on the External Course Codes Import Template the next time it is downloaded. You can save new values by overwriting the existing codes and completing the upload process a second time.
Success
With the Enrollment Integration set up and the external course codes added to your courses, EdgeEX Sections will be created via the Enrollment Integration if the section does not already exist in EdgeEX. In the future, if you add more EdgeEX Courses to your District Catalog, remember to create external course codes for them.
